Fixed asset management is an extremely important part of enterprise management. This is not only because fixed assets are a crucial component of enterprise resources and occupy a significant portion of the company's assets, but also because, as enterprises develop, the quantity and types of fixed assets continue to increase investment. How to manage the entire lifecycle of fixed assets affects the level of asset management and the healthy development of enterprises.

Currently, enterprise asset management mainly faces the following issues:

1. Heavy inventory work, time-consuming and labor-intensive—untimely information feedback affects operational efficiency and leads to duplicate asset purchases;

2. There are many types and quantities of equipment, and manual accounting for inbound and outbound is quite time-consuming;

3. Physical equipment is often unavailable during year-end inventory or does not match the records;

4. Only when the equipment fails does it search for relevant accounting information to know whether the equipment is out of warranty, which supplier it is, and how to carry out subsequent repairs;

5. Due to personnel transfers, equipment users also change. If account information is not updated in time, chaos will occur during the year-end inventory period;

6. Over time, a large number of files and data will be generated, which will make searching, updating, and maintaining significant difficulties;

7. Heavy inventory work, time-consuming and labor-intensive, affecting operational efficiency;

The RFID asset management system collects real-time data through location readers in the management area to monitor the movement of fixed assets; Handheld machines are used to batch read RFID electronic tags attached to fixed assets, enabling rapid inventory checks and improving efficiency and accuracy; Provide daily management, depreciation management, and report analysis of fixed assets to ensure their integrity, preservation, and appreciation, accurately calculate asset quantities and values, supervise and promote proper storage and reasonable use of fixed assets, continuously improve equipment utilization and integrity rates, and fully utilize asset efficiency.

1) Daily asset operation management function

It mainly includes routine tasks such as adding, modifying, transferring, borrowing, returning, repairing, and scrapping fixed assets. Each fixed asset can also be accompanied by a photo of the asset for easy viewing of valuable items.

2) Attach custom attributes to assets

Different equipment may require recording not only shared asset attributes (such as purchase date and original asset value), but also its unique attributes, such as color, material, and origin for furniture, and weight and size for medium to large equipment.

3) Label management

Based on the selected fixed assets, tags that can be affixed to the actual assets are automatically generated, ensuring that every item is traceable and traceable.

4) Inventory Function

First, all asset information in the department to be inventory is downloaded to a handheld device, then fixed assets are scanned one by one. For each item scanned, the relevant information about that item is displayed on the device. During inventory, you can check the details of items that have not yet been counted on the handheld device at any time. After the inventory is completed, detailed inventory surplus subsidiaries, inventory deficit subsidiaries, and inventory summary reports can be generated by department, department, or even room number.

5) Asset depreciation

Multiple depreciation methods apply different depreciation formulas to different equipment to calculate depreciation costs. Monthly depreciation of fixed assets is accrued, monthly depreciation reports can be printed, and depreciation can be manually entered and adjusted.

6) Asset Scrapping

The system can print a scrapping application form, which can be used as an attachment to follow the scrapping approval process on the Guannei office platform. You can register and query asset sale information.

7) Historical asset inquiry

For assets that have been scrapped or worn out, the system stores their information separately in the historical database. You can view all records throughout the entire lifecycle of these assets. The benefits are: first, historical asset queries are faster and more convenient; Second, information related to existing assets in use can be retrieved more quickly.

8) Monthly fixed asset report

Query and categorize monthly (annual) reports, monthly reports for added fixed assets this month, monthly reports for decreased fixed assets this month, monthly reports for fixed asset depreciation (annual reports) based on conditions such as unit, department, time, etc., and provide printing functionality.

9) Comprehensive fixed asset inquiry

You can query the status of individual or batch fixed assets, with conditions including asset category, purchase date, purchaser, supplier, user department, net asset value, asset name, specifications, and more. All query reports can be exported to Excel.

This system fully demonstrates the technical advantages of RFID in fixed asset management systems, significantly improving operational efficiency and accuracy. It enables enterprises to establish a unified, effective, real-time, and process-based asset resource management system. Through a networked centralized management model, it connects all departments, enabling full lifecycle management of assets from procurement to disposal. This not only enables effective allocation of asset resources and fully utilizes the functions of existing resources, but also provides support for asset investment decisions.
